ABSTRACT: This system of records tracks all correspondence inquiries alphabetically by correspondent name made to directly to EOUSA or referred to EOUSA.

PURPOSE: The Citizen Correspondence Files system was established and is maintained pursuant to 5 U.S.C. § 301 and 44 U.S.C. § 3101. This records system permits authorized EOUSA personnel to adequately track and respond to inquiries made by citizens directly to EOUSA or referred by another agency, component or department to EOUSA. Since, EOUSA serves as a liaison between the USAOs and the Department of Justice this systems aids in the promotion of EOUSA's liaison duties as well as providing a public relations customer service.

ACCESS CONSTRAINTS: The information is maintained in files in specified offices which are occupied by office staff during working hours and locked after hours. Information retrievable in electronic format is protected through the use of identification numbers issued only to authorized employees.

AGENCY PROGRAM: EOUSA serves as a liaison between the 93 USAOs and the Department of Justice. Compilation and tracking of correspondence serves as an effective management tool and assists in promoting EOUSA's liaison capabilities and public relations

SOURCES OF DATA: The information maintained in this system of records includes the original correspondence, EOUSA's response and any information or enclosures transmitted with the response.
